Charter College, LLC ., an established career college with locations in California, Alaska, and Washington state, is seeking an experienced Administrative Assistant to join our Admissions team at our Anchorage, AK campus. The Administrative Assistant (AA) will provide day-to-day front desk support and administrative support to the Admissions Representatives, campus staff and students. The AA must be knowledgeable of basic administrative duties and handling customers effectively and efficiently; should have the ability to multi-task, prioritize duties and exhibit excellent communication skills both written and verbal. Additionally the Administrative Assistant is required to be punctual, responsible, ethical and a team player. This position requires the ability to work a varied schedule. 11:00 am - 8:00 pm - Monday-Thursday 8:00 am - 5:00 pm - Friday JOB DUTIES/RESPONSIBILITIES: This position reports to the Director of Admissions and the Campus President while being responsible for, but not limited to, the duties and tasks listed below: Answer main phone lines, route calls and messages accordingly Log all inquiry calls on Inquiry Log and enter into Campusvue Greet all customers in friendly manner Prep daily sign-in for all visitors and monitor that everyone signs-in Keep track of employee In/Out board Check all web based inquiries, download, log and distribute several times per day Keep reception area neat and stocked with information Check fax machine routinely and route documents immediately Sort and distribute all mail Post and send mail daily Check and re-stock postage machine Check inventory for print and testing materials, and office supplies weekly. Order all office supplies Keep copy/supply room organized, neat and stocked Data entry and keeping databases up to date. Update front desk calendar with Admission Representative and Student Services Officer appointments and schedules Complete daily reconciliations of Admission Representatives daily activities in CampusVue (at locations without Admission Assistant) Complete weekly Leads Analysis report in CampusVue and submit to Corporate Director of Admissions (at locations without a Lead Admission Representative or Admission Assistant) Coordinate ATB testing with proctor at locations with Ability to Benefit admissions Provide SLE test proctoring to prospective students and log all test scores at applicable campuses Audit and monitor enrollment files- focus on complete files by official start Process all transcript requests for high school or GED at applicable campuses Process all admission mailings, including but not limited to: Orientation letters Replenish materials for all Admission Representatives and department, including but not limited to: catalogs, brochures, program sheets, enrollment packets, and evaluation questionnaires Complete data entry into CampusVue for all admissions representative enrolled prospective students Route required enrollment documents to Department of Student Services (at campuses without an Admission Assistant) Keep all admission documents current Coordinate with Admission Representative, all Orientations including but not limited to: Orientation packets, sign-in sheets, name tags, food, room set-up and clean-up Participate in all Admission meetings, take notes and distribute to team members Address and route student concerns to appropriate manager for resolution Assist in preparation of all campus activities ie Graduation and holiday parties Commit to achieving team start goals by actively supporting the team towards success Coordinate all Orientations including but not limited to: Orientation packets, sign-in sheets, name tags, food, room set-up and clean-up Other duties as assigned by Director of Admissions and Campus President QUALIFICATIONS: High School Diploma or Equivalent required; College degree preferred Minimum Two (2) years of Administrative Support / Front Desk experience required High proficiency with computer applications including MS Word, MS Excel, MS Outlook, IE required Ability to multi-task required Ability to prioritize tasks through out the day required Good verbal and written communication skills required Ability to represent the college in a professional manner required Experience in the education industry preferred COMPENSATION: Non Exempt hourly salary 14.00-16.00/hr DOE - There is no ability to negotiate above the top range of 14.00/hr
